No back-up is superfluous Oct 22, 2007

...and this is another kind of back-up. Unfortunately on one of my e-mail accounts I have to click a box to get this option every time, rather than being able to set it to automatic, and on the other it isn't available so I have to do a BCC to keep a record of having at least sent the mail.

Don't know whether this would stand up in a court of law, but always useful to have a record...

I did this at the beginning about 4 years ago now and agencies did not send the reply back, I concluded that they thought it was impertinent.

I always "BCC" myself when I send off a job, in part because it gives me proof with the time and date I sent the email and because there is no guarantee that a client will respond to an automatic receipt request. That said, I'm not sure either about the legal weight of the "BCC".

Also, I must admit that on one of my (client-created) email accounts I cannot for the life of me figure out how to set up an "Out of office reply" and on another (backup) account I have no idea how to request a receipt. So far, none of this has caused any trouble.

I understand that in some cases it may be a useful function (if you're particularly worried that an email may not arrive, or if someone has been claiming they haven't been receiving your emails), but I don't understand why people consistently use it with EVERY email. I find that it's an invasion of my privacy.

Availing this opportunity, with reference to the third option in this poll, I am interested in knowing how to make configurations in my mail account to have the automatic receipt of my mails. I have a gmail account.

I shall appreciate if some expert colleague here guides me in this respect.

for every job delivery. If the acknowledgment does not arrive within an hour or so I forward the message. All our clients do send the automatic response (I think it saves them time).

On the other hand, very few agencies confirm reception of our bids. Those who do it, it is usually to get us into their database (i.e., they answer only if they are somehow interested).

Important messages only Oct 22, 2007

I ask for a confirmation of receipt:
- for delivery of a translation
- for invoices
- for forms/data/agreements concerning actual jobs and PO's
- if the message is about something that may influence the course of a project I'm working on
- and occasionally for queries

I find that many PM's appreciate this and actually do the same.
For other messages I don't bother.

I've also learned not to give in to the pressure when someone else is asking me for a confirmation of receipt - I click OK/Yes and go about my business as usual. People understand that this is a means of saying: I've seen it, don't worry, and I'll pay attention to it some time soon, if necessary. But not right away!

I demand a receipt to make sure my translation was received. Especially since one of my clients NEVER acknowledges they got the email by return email, so receipt is the only way to know if they go it or not. I couldn't sleep well not being sure.

I BCC myself to make sure my email got through. 2 years ago there was something wrong with email server I was using, and when I was sending emails, to me it seemed they were sent, but they never got farther than email provider server - no recipient was getting them. It took many weeks, before I discovered the problem (and I discovered it by accident too!).

So now - if I don't get my own email with translation back - I send it again. IMO it's better to send it twice, then have problem, if it gets lost in an internet black hole.

I find such auto-responders to be a nuisance and an invasion of my privacy.
I do not send them to others.
If someone wishes to acknowledge receipt of my message, it is their choice to do so.

I keep copies of all the mails I send in a 'Sent Mails' folder that is standard in Outlook, until the transaction is completed (i.e. job paid for or whatever). I delete several hundred each month, when they are 2-3 months old and no longer relevant, or I archive them in other folders if they are still useful.

I react to mails only if I can send a meaningful message - but try always to react if they are important.

In general I send as few mails as possible - the mail beeps several times an hour even then. If absolutely necessary, I phone or re-send the sent mail with a comment - it shows the date and time when it was originally sent anyway. But it is only necessary a couple of times a year.

Agencies get mails coming in all the time, and AFAIK, they prefer like me only to get the important ones. So I do not use that function if I can avoid it.

I regard most automatic mails as spam!

I ask for an automatic confirmation of a un/successful delivery notifications and for the time it was opened.

It is just to be sure the message reached on time.

The problem is that some email applications show you that the sender requested a return receipt but also allow you to opt ouf of it (e.g. Thunderbird). This means that even when requesting a return receipt you might not actually get one if the customer decided not to send one. As I receive lots of mail during the day (as everybody else in our job, I guess) I don't like to be prompted for return receipts. The only exception: Two of my customers use the return receipt option when asking for availability for a really urgent or critical job in order to make sure that...
a) ...I am not away at some onsite job
b) ...I am available my computer
c) ...I am not overlooking the mail
d) ...I am replying asap
e) ...they do not lose time waiting for me to answer.
However, most of the time they just call me on the cell in order to ask right away.

However, those customers are 'regulars', not agencies who contact me on Friday afternoons with some phony job to be done by Monday morning ...

@ aburiaz and others who wish to receive/send return receipts using Gmail or other accounts:

Gmail currently does not support return receipts if you use it as a web-based email account. You will have to download your mails with an email application such as Thunderbird (which works perfectly for me) or Outlook (which I had problems with). If you want to make sure that you can always access any of your mails, just set the download in Thunderbird so that mails on the server are NEVER deleted. That way you have local as well as web-based mail.

In Thunderbird, this option must be set for each mail individually. This is how to do it:
Write an email entering the recipient, a subject and the message itself. Before sending, go to Options -> Return receipt.

For other web-based email you might want to search the Internet. There are many forums that will include the required information. Just enter the following in the Search field:
"return receipt" Name_of_the_mai_provider

Example:
"return receipt" gmail

This also works for many other questions ...
